Property Managment Services Offered by Ely Properties

Rent Collection: Timely rent collection is the number one priority of Ely Properties. Rent is due on the first of the month, however, residents are allowed a grace period until the third. Eviction proceedings may begin as early as the fourth of the month depending on resident's history.

Maintenance Requests: All maintenance requests are directed to our office. The resident is quizzed briefly regarding the nature of the difficulty and to determine if the problem can be solved without professional assistance. If professional assistance is required, the proper service technician from the responsible entity is sent to the property. As an additional savings to the owner, Ely Properties has "in house maintenance service" that is far less expensive for most maintenance repairs.

Home Owners Associations: The bylaws and rules and regulations of the condominium community will be enforced by Ely Properties and adhered by the resident. A working relationship has been established with the Homeowners Association to handle repairs, maintenance, policy changes, and leasing in order to keep all parties informed and fines enforced for violations of the Rules and Regulations.

Prepare Owner Statements: Owner statements are prepared on the 15th of each month following the month of activity. These statements show all receipts, all disbursements and ending balance. (Invoices are attached where appropriate. There are no invoices for management fees.) In addition, a year end profit and loss statement, account summary, journal summary and Form 1099 are prepared for income tax purposes.

Audit/Pay Bills: Upon receipt of a service company's bill, the bill is checked for: accurate service address and billing rate, work done correctly and actual problem solved. Bill is then approved for payment and paid from rents collected.

Negotiations with Residents: New leases and lease renewals are negotiated with prospective or current residents and, when expedient, compromised or settled. Rarely, concessions to residents may be deemed necessary for the best interest of the property and the owner. Resident retention is a goal of management to reduce overall turnover expense and improve cash flow.

Consultation: Conduct on-site inspections of the property. Reports for violations of the lease agreement or Rules and Regulations are reported to management. Owner is consulted for serious violations.

Leasing: The use of "locators" is the method we utilize most often in attaining residents. In addition to our "in-house leasing agents", all of whom are REALTORS, Ely Properties also has co-broker agreements with most other leasing companies in Austin.
